Caller phone numbers are processed only to deliver the service itself — sending an automatic text-back is the direct purpose a caller's number is used for, and it's necessary to provide the service our clients pay for. Client business details are used to set up, bill, and support your account.
Caller phone numbers are used solely to send the automated text-back message and to log that lead for the business the call was made to. We do not use caller numbers for our own marketing, and we do not sell caller or client data to third parties.
To operate the service, caller and message data passes through a small number of technical providers acting on our behalf: a messaging provider to send texts and handle calls, an AI provider to help draft message content, and a hosting provider to run the service. These providers only process data as needed to deliver the service — they don't use it for their own purposes.
We keep caller and lead data for as long as needed to provide the service to our clients, and client account details for as long as the account is active plus a reasonable period for billing records. You can ask us to delete data that relates to you at any time.
Under UK data protection law, you have the right to ask what data we hold about you, to have inaccurate data corrected, and to request deletion. If you're not satisfied with how we've handled a request, you can complain to the Information Commissioner's Office (ico.org.uk).
Questions about this policy, or requests relating to your data, can be sent to callaclients@gmail.com.
This is a plain-English starting point written for a new, small service business, not a substitute for professional legal advice. Worth having this properly reviewed once the business is processing data at volume.
